Privacy Policy of the ATS Office platform: what personal data is processed, the purposes and legal grounds, transfers to third parties, protection measures, and your rights.

This English version is provided for convenience. In case of any discrepancy between the Russian and English versions, the Russian version shall prevail.

1. General Provisions

1.1. This Privacy Policy has been prepared in accordance with Federal Law No. 152-FZ “On Personal Data” dated 27 July 2006 and determines the procedure for processing personal data and the measures taken to ensure the security of personal data by Individual Entrepreneur Anton Antonovich Tsalov, TIN 301808511415, OGRNIP 321302500039682, location: Russian Federation, Moscow, email address: support@atsoffice.ru, hereinafter referred to as the “Operator”.

1.2. The Operator’s objective is to respect human and civil rights and freedoms when processing personal data, including the protection of the right to privacy, personal and family secrecy.

1.3. This Policy applies to all information that the Operator may receive about visitors of https://atsoffice.ru, users of the web application https://app.atsoffice.ru, persons submitting applications, contacting support, connecting to the platform, using the personal account, AI offices, modules, feedback forms, application forms, payment forms and other interfaces of the ATS Office platform.

1.4. The Operator is registered in the register of personal data operators maintained by the authorized body for the protection of the rights of personal data subjects, registration number 77-25-517688 dated 24.11.2025.

1.5. Individual Entrepreneur Anton Antonovich Tsalov is responsible for organizing personal data processing by the Operator.

2. Key Definitions

2.1. Personal data means any information relating directly or indirectly to an identified or identifiable individual.

2.2. Personal data processing means any action or set of actions performed with personal data, including collection, recording, systematization, accumulation, storage, clarification, retrieval, use, transfer, depersonalization, blocking, deletion and destruction.

2.3. Operator means a person who independently or jointly with other persons organizes and performs personal data processing and determines the purposes of processing, the scope of data and actions performed with it.

2.4. User means a website visitor, platform user, Customer representative, person who submitted an application or inquiry or otherwise interacts with the Operator.

2.5. Platform means the ATS Office digital platform, including the website, web application, personal account, AI offices, modules and other functions.

2.6. Cookies mean small data fragments that the website may store on the user’s device to ensure website operation, analytics, saving settings and improving service quality.

3. Categories of Personal Data Processed

3.1. The Operator may process the following categories of personal data:

surname, name and patronymic;
email address;
phone number;
organization name, project, field of activity, position or role of a representative;
account and personal account information;
information about the selected tariff, package, pilot access, connected modules and terms of use;
information about payments, invoices, documents and settlements;
user identifiers in information systems;
content of applications, inquiries, support messages and other correspondence;
materials transferred by the user to the platform;
settings of AI offices, modules and workflows;
platform usage results;
technical data: network address, browser data, device data, operating system data, cookies, access date and time, referral source, action logs and session data;
other information that the user independently provides to the Operator when using the website, platform, forms, personal account or support service.

3.2. The Operator does not intend to process special categories of personal data relating to racial or ethnic origin, political opinions, religious or philosophical beliefs, health or intimate life.

3.3. The user must not transfer personal data of third parties to the Operator without a legal basis.

4. Purposes of Personal Data Processing

4.1. The Operator processes personal data for the following purposes:

registration and maintenance of an account;
processing applications for connection, pilot access, demonstration, consultation or feedback;
conclusion, performance, amendment and termination of an agreement;
providing access to the website, web application, personal account, AI offices, modules and other platform functions;
configuring and supporting access to the platform;
processing user materials within platform functions;
generating platform work results;
technical user support;
sending service notifications related to platform operation, the agreement, payment, security, updates and support;
receiving and processing payments;
preparing accounting, tax and other mandatory documents;
ensuring security, logging, preventing abuse and protecting infrastructure;
improving the quality of the website, platform and user experience;
collecting website visit and usage statistics using Yandex Metrica and other permitted analytics tools;
complying with requirements of the legislation of the Russian Federation;
sending marketing messages only with separate user consent, if such consent is required by law.

5. Legal Grounds for Processing

5.1. Personal data is processed on the following grounds:

consent of the personal data subject;
conclusion and performance of an agreement to which the personal data subject or the organization represented by them is a party;
compliance with obligations provided by the legislation of the Russian Federation;
exercise of the Operator’s rights and legitimate interests, provided that this does not violate the rights and freedoms of the personal data subject.

6. Personal Data Processing Procedure

6.1. Personal data is processed using automation tools and without using such tools.

6.2. The Operator collects, records, systematizes, accumulates, stores, clarifies, retrieves, uses, transfers, depersonalizes, blocks, deletes and destroys personal data.

6.3. The Operator processes only personal data that corresponds to the stated processing purposes.

6.4. The Operator takes measures to ensure accuracy, sufficiency and relevance of personal data.

6.5. The period of personal data processing is determined by achievement of processing purposes, the term of the agreement, storage periods established by law, and the term of consent if processing is based on consent.

6.6. Upon achievement of processing purposes, withdrawal of consent or loss of need for processing, personal data is destroyed or depersonalized unless otherwise provided by the legislation of the Russian Federation.

7. Transfer of Personal Data to Third Parties

7.1. The Operator may transfer personal data to third parties only to the extent necessary to achieve processing purposes, perform the agreement, operate the platform, process payments, provide technical support, ensure security, conduct analytics and comply with legal requirements.

7.2. Such parties may include:

hosting and technical infrastructure providers;
email and communication service providers;
payment services, banks and other payment participants;
analytics services, including Yandex Metrica;
providers of artificial intelligence technologies and automated data processing;
contractors providing technical support, maintenance, security and platform operation;
government authorities in cases provided by law.

7.3. The Operator ensures that third parties receiving access to personal data maintain confidentiality and comply with the personal data legislation of the Russian Federation.

7.4. The Operator does not sell users’ personal data to third parties.

8. User Materials and Third-Party Data

8.1. When using the platform, the user may transfer to it materials, information about business, products, customers, partners, leads, content, channels, analytics and other data.

8.2. If such materials contain personal data of third parties, the user must independently ensure that there is a legal basis for their transfer and processing.

8.3. The Operator processes such data within the platform functions and the user’s instruction, unless otherwise provided by the agreement, law or separate contract.

8.4. The user is responsible for the legality, accuracy and lawfulness of the data and materials transferred by them.

9. Data Processing When Using AI Functions

9.1. The platform may use artificial intelligence functions, automated data processing, generation of texts, images, scripts, reports, recommendations, analytical materials and other results.

9.2. When using such functions, the following may be processed:

account identifier;
user text requests;
user materials;
module settings;
history of actions in the platform;
processing results;
technical data required to execute the request and ensure security.

9.3. Processing is carried out to provide platform functions, generate results, improve service quality, ensure security and perform the agreement.

9.4. If individual functions require additional consent, notification or configuration, such terms are communicated to the user on the website, in the platform interface or in a separate document.

9.5. Automated processing in the platform is not intended to make legally significant decisions regarding the user without human participation.

10. Cookies and Yandex Metrica

10.1. The Operator’s website uses cookies to ensure website operation, save settings, analyze traffic, improve service quality and protect against abuse.

10.2. The website may use Yandex Metrica to collect visit statistics. Technical data may be processed, including network address, browser data, device data, access time, referral source, information about actions on the website and cookies.

10.3. The user may restrict or disable cookies in browser settings. Disabling cookies may limit certain functions of the website or platform.

10.4. If user consent is required for the use of certain types of cookies, such consent is requested through the website interface.

11. Personal Data Protection Measures

11.1. The Operator takes necessary legal, organizational and technical measures to protect personal data against unauthorized or accidental access, destruction, modification, blocking, copying, provision, distribution and other unlawful actions.

11.2. Such measures may include:

access control to information systems;
use of secure connection;
access rights management;
use of passwords and other protection tools;
backup;
event logging;
software updates;
limitation of the scope of processed data;
control over actions of persons having access to personal data;
other measures necessary to comply with the legislation of the Russian Federation.

11.3. Main databases containing personal data are placed on infrastructure located in the Russian Federation, unless otherwise required for operation of individual functions and permitted by law.

12. Rights of the Personal Data Subject

12.1. The personal data subject has the right to:

receive information about processing of their personal data;
request clarification, blocking or destruction of personal data if it is incomplete, outdated, inaccurate, unlawfully obtained or not necessary for the stated processing purpose;
withdraw consent to personal data processing;
send a request to terminate personal data processing;
appeal actions or omissions of the Operator to the authorized body or court;
exercise other rights provided by the legislation of the Russian Federation.

12.2. To exercise their rights, the user may send an inquiry to support@atsoffice.ru.

12.3. The Operator considers inquiries of personal data subjects in the manner and within the time limits established by the legislation of the Russian Federation.

13. Withdrawal of Consent

13.1. The user may withdraw consent to personal data processing at any time by sending an inquiry to support@atsoffice.ru.

13.2. After receiving the withdrawal, the Operator stops processing personal data within the period provided by law, except where continued processing is permitted without the consent of the personal data subject.

13.3. Withdrawal of consent may make it impossible to further provide certain functions of the website, platform, personal account or services if such functions are impossible without processing the relevant data.

14. Cross-Border Transfer of Personal Data

14.1. Main personal data processing is carried out in the Russian Federation.

14.2. When using individual functions, service providers or technologies, it may be necessary to transfer data outside the Russian Federation. In such case, the Operator complies with the requirements of the legislation of the Russian Federation on cross-border transfer of personal data.

14.3. The Operator takes reasonable measures to limit the scope of transferred data and protect the rights of personal data subjects.

15. Actions in Case of Incidents

15.1. If unauthorized or accidental transfer, leakage, destruction, modification, blocking, copying, provision, distribution of personal data or other unlawful action is detected, the Operator takes measures to eliminate the consequences of the incident.

15.2. In cases provided by law, the Operator notifies the authorized body and personal data subjects.

15.3. The Operator conducts an internal review and takes measures to reduce the risk of recurrence.

16. Final Provisions

16.1. The user may receive explanations regarding personal data processing by sending an inquiry to support@atsoffice.ru.

16.2. The Operator has the right to amend this Policy. A new version enters into force from the moment it is published on the website unless another effective date is specified in the version.
